The Chaplain Crisis Response Guide is committed to protecting the privacy and confidentiality of chaplains using our crisis support platform. This policy explains how we collect, use, and safeguard your information.

Information We Collect

1. Crisis Incident Data

  • Incident type, category, and severity level
  • Faith tradition context (if provided)
  • Crisis scenario descriptions
  • Response actions taken
  • Timestamps and location data (optional)

Note: All incident data is stored locally on your device by default. No personally identifiable information about individuals in crisis is collected.

2. Self-Care Assessment Data

  • PCL-5 PTSD screening responses
  • Self-care activity logs
  • Mental health check-in scores
  • Burnout risk indicators

Privacy: Your self-care data is private and never shared with third parties.

3. AI Interaction Logs

  • Chat messages with Crisis Response AI and Chaplain Support AI
  • Voice input transcriptions (if voice feature is used)
  • AI-generated guidance and recommendations

AI Processing: Messages are processed by OpenAI (GPT-4o-mini) to generate crisis guidance. OpenAI may temporarily log requests for abuse monitoring per their privacy policy.

4. Technical Data

  • Device type and browser information
  • IP address (for security purposes only)
  • Session duration and feature usage
  • Error logs and crash reports

Monitor PTSD Risk

Data Security & Storage

Local-First Storage

Most data (incidents, self-care logs) is stored locally on your device using browser storage (IndexedDB/LocalStorage). This ensures privacy and enables offline access.

Database Storage

If you choose to sync data across devices, information is encrypted in transit (TLS/SSL) and stored in a secure PostgreSQL database with industry-standard security measures.

Third-Party AI Processing

OpenAI processes your messages to generate crisis guidance. OpenAI does not use customer data to train models per their privacy policy.

HIPAA Compliance Notice

Important: While this platform is designed for chaplain professional development and crisis guidance, it is not HIPAA-compliant for storing protected health information (PHI) about specific individuals.

Guidelines:

  • Do not enter patient names, medical record numbers, or other PHI
  • Use general descriptions for incidents (e.g., "elderly patient" not "John Smith, DOB 1/1/1950")
  • For HIPAA-compliant documentation, use your institution's official systems

Your Data Rights

You have the right to:

  • Access: View all data stored about your usage
  • Delete: Clear local storage and request database deletion
  • Export: Download your incident and self-care data
  • Opt-Out: Disable analytics and usage tracking

Data Retention

  • Local Data: Stored indefinitely until you clear browser storage
  • Database Records: Retained for 2 years unless deletion is requested
  • AI Chat Logs: Processed in real-time, not permanently stored
  • Error Logs: Retained for 90 days for troubleshooting

Changes to This Policy

We may update this Privacy Policy periodically. Material changes will be communicated via in-app notification. Continued use after updates constitutes acceptance of the revised policy.
